On having no idea what’s going on…

So here’s the thing… We’re all busy. We all have a lot of irons in the fire. We all have requirements competing for the limited amount of attention that we can provide. That’s OK. ​That’s the way it should be.

What isn’t OK, though is when you start using being busy as an excuse. When out of the thin blue you come online and start screaming about having not seen something before… something that has been sent to your inbox at least a dozen times over the last two months, that really tells me all I need to know. Yes I’m judging. I’m judging you and find you wanting.

It tells me that you haven’t bothered to get informed up until this point, which is fine, but don’t get that twisted. You’re not getting informed doesn’t have a damned thing to do with me. I’ve provided the information repeatedly. You’ve elected to ignore it. I hope you’ll find a way to forgive me if I don’t rend my garments in despair, because that’s all on you.

See, you’re not my rater. You’re not my senior rater. In fact you don’t appear anywhere in my rating chain at all. That makes your opinion interesting, but entirely irrelevant. Now that we’ve established that you’re not a special snowflake or a leading lite upon my firmament, let’s get out there any try to remember that keeping track of what’s going on is one of those pesky personal responsibilities… because my level of indifference to whether you know or not is nearly limitless.

The deciders…

When you’re sitting in a meeting with the great, good, and mighty, and one of them asks “Who approved that,” the correct answer is never “I did.” It results in a collection of blank stares, curled lips, angsty glances, and general twitchiness among the host assembled.

Yes, Virginia, I had the audacity to make a decision or two all on my own. I do it more often than they want to know, because it’s the only possible way to keep everything anywhere even close to on schedule. If we want to fall into the mode where the shading and font of every slide needs executive approval, you might as well fire my ass right now. Some decisions need made on the spot and unless someone directs me not to, I’m going to make them. I’m going to do it not so much based on any written authority, but based on the fact that I’ve got half a damned brain in my head and I’m reasonably good at what I do. If you feel that I need that kind of hand holding at every decision point, I’m serious, you really should replace me with someone more competent.

Look, I’m not vetoing bills and sending them back to the Hill. I’m not negotiating treaties with hostile powers. I’m not offering to cut entire weapons systems out of our portfolio. I’m deciding what slide template looks best when projected on a 50-foot screen and how many reserved seats we’re going to need. It’s the operative definition of nug work. It’s the sort of thing that should be well below the notice of those wielding profound executive authority.

I didn’t want to be the point man on this team, but someone gave me a task and told me to get it done. I’ll do exactly that, but it would be one hell of a lot easier if we could stop tripping all over ourselves. Believe me when I say if I hit a snag, or when the decisions needed are truly above my pay grade, I’ll be the very first to go screaming for help.

Flexible and transparent…

I wish I could tell you that I was about to launch into a sales pitch for the newest cell phone by telling you how it’s improved screen was flexible and transparent, but I’m not going to do that. Instead, I’m going to lament that I sat in a meeting today where we were told that things are changing rapidly and that we should smile more because that makes things better. We were also told on three separate occasions that it’s really, really important to “be flexible,” and that the powers at echelons higher than reality want to make the whole experience “transparent” for everyone.

Honest to God I don’t know how anyone is expected to sit through that kind of putting-lipstick-on-a-pig banality without fierce eye rolling. Worse yet I don’t know if it’s what people say because they don’t know what else to say or if they say it because they believe it. Frankly neither option is particularly palatable.

After the 100 minutes of my life sacrificed today that I’ll never be able to get back, I wish I could tell you that I have a warm fuzzy that anyone has some kind of clue what’s going on, but again that would probably induce another massive eye roll. The truth is, I haven’t had a clue what’s happening in six months or more. What I do know is that now “everything we do” has to somehow be tied in to the newest overlord’s three main priorities… Which, of course, addresses a couple of big showy ideas, but does precious little to address the everyday issues of running an organization of 70,000+ people.

I guess as long as we’re ever smiling, flexible, and endlessly transparent, it doesn’t make a damned bit of difference whether we know what the end state is actually supposed to look like… since when you don’t know where you’re going anyplace can be a destination.

Just to be on the safe side, if anyone needs me I’ll just be taking another shot at rearranging these deck chairs, because slamming directly into an iceberg feels every bit (if not more) likely than anything good happening at this point.

Selling snake oil…

Today is apparently time for another friendly tip from your kindly Uncle Jeff. This week we’ll take a look at how not to build trust in your audience when presenting information. Staying away from a few key missteps will go a long way towards creating the illusion of a connection between you and your audience.

First, do your best to avoid generic phrasing such as listing “increased synergy” or “maximizing capabilities” when talking about your goals. This makes you sound like someone who maybe hasn’t really given their actual goals very much thought. Try building your presentation based on actual information, ideas, and measurable goals.

Second, if in the first 30 minutes of your discussion you have found six different ways to tell the audience that everyone is in this together and extolling them to “think of it as an opportunity,” everyone in the room will automatically be suspicious of you and your scheme. That kind of power of positive thought jackassery might sounds good to an intern, but to the more jaded and cynical members of your audience, it sounds like another sales pitch for Ye Olde Oil of Snake.

So in conclusion, let me just remind you that it’s generally not necessary to work so hard to sell good ideas. Everyone knows that change can’t be stopped. It can, however, be managed. Whether it’s managed well or badly depends almost entirely on how you choose to present it, but once your audience thinks you’re up to something you might as well forget ever getting them on your side in any meaningful way.

Learning to wait…

I’ve said it before but it seems to bear repeating: If you call my desk five minutes before the end of the day there’s a good chance I’m not going to answer – a) Because there’s absolutely nothing I’m working on that can be discussed in less than five minutes and b) Because it’s just rude to delay someone who’s already put in a full day for anything less than a full blown (and legitimate) emergency. I hold the same line on email too – if the building isn’t burning down and it requires more than a yes or no answer, you’re going to wait until there’s time on the clock to provide a complete and well-reasoned response.

In case you think this is just about managing expectations at the office it really isn’t. I have no problem at all letting the phone ring at home if it’s not a convenient time to have a conversation. My Gmail box will occasionally go untended for a day or two. Hard as it is to believe sometimes Facebook posts even go unliked and messages even go unreturned if I don’t have anything of substance to add to the conversation or the time with which to attend them.

All this technology surrounding us is supposed to be a convenience, you see. It’s supposed to let us engaged on our own schedule and in our own way. Instead of using these tools to manage our schedules and actions, many seem perfectly willing to let their scheduled be managed by the tools. As much as I love my iPhone, make no mistake that it is the servant and I the master. It’s the only reasonable way I’ve ever found to even attempt keeping things in their proper perspective.

All of that’s probably just a longer than necessary way of saying don’t call or email expecting great and wonderful operational insights at 3:55 PM. You’re going to be disappointed. Along the same lines, you probably shouldn’t bother trying to reach me between the hours of 10PM and 5AM for anything, really. My ringer is off because even if there is an emergency there probably isn’t a damned thing I can do about it before the sun comes up. Even if it is an actual emergency, it’s probably best for everyone if I’m allowed to face it after a few hours of sleep anyway.

Priorities people, priorities.

Lost count…

In my 13+ years of service I’ve lost track of the number of times I’ve been reorganized. Half a dozen is the “for sure” number and if I were guessing there are probably two or three more occasions that I’ve mentally blocked out. Technically, reorganizations don’t have to be a bad thing. Theoretically they should be employed to achieve some long term goal like improving the efficiency of operations or to refocus an office on areas that historically are part of their core mission set. Good ideas, those. Unfortunately, what a reorg usually means, though, is that someone, somewhere has no other idea what to do so changing the lines on the wire diagram is the logical place to start. If things aren’t broken already, you can always count on a reorg to bend them till they are cracked and bleeding…   It’s got to be the oldest make work project in government.

So it seems we’ll be at the old games again. New desk, new boss, new mission, new projects, but the same old faces and ever aging technology. But then the pay’s the same and it’s the same eight hour day that it’s always been. In the end, I guess it doesn’t matter if it matters… as long as the checks don’t bounce on every alternate Thursday.

The problem with doing good work…

The problem with doing good work is largely that the reward is often finding yourself with even more of it that needs doing. In exceptional circumstances you’ll arrive in a position of having done so well that a well running portfolio will be taken away and given to someone else so that you can take on a whole laundry list of troubled efforts in order to get them turned around.  That’s really the ultimate punishment for a job well done… It tends to be a vicious cycle; spend a few years getting things right just in time to hand them off and spend the following few years getting other things right. Trouble is, you never get to really kick back and enjoy the tasty fruits of getting it right before a whole lot of wrong ends up falling on your lap.

The sorry truth is when it comes to work, I’m not a brilliant seer of the future. I’m really a rather simple sort who’s content enough to put my head down and bull through whatever’s in front of me. I’ve given up any ambitions of being a boss, so I fight where I’m told, and I win where I fight. It’s a simple if not particularly energy efficient approach to getting things done.

In the deepest, darkest recesses of my mind, though, I do sometimes wonder how many cycles of wash-rinse-and-repeat the designated fixer should reasonably be expected to contend with before losing his proverbial shit all over the executive suite.

Good things…

If you stick around long enough occasionally good things happen to good people. Most of the time that’s not the case, but just occasionally the universe gets one right. It’s nice to see someone finally get compensated for the level of responsibility they’ve already had. It’s a damned rare thing and I’m happy to see it.

The flip side of such recognition, however, is that when these good people move up and out you inevitably end up with a pile of their old job on your desk because someone still has to do it when they’re gone. Anyone who’s been in the game any length of time at all has been on both sides of the “workload balancing” equation. So it goes.

My advice at times like this is to remember that the day is only eight hours long no matter who’s trying to cram 12 hours of work into it. Wash, rinse, and repeat as needed until the weekend arrives. A decade ago, this kind of thing would have made me nervous and jerky. Now I mostly just shrug and accept there are some things that will never rise to the top of the list of things to do – and even if that’s not technically ok, it’s just the way it is.

Things not do do…

So let’s say you’re the boss. You’re going to be out of the office for a few days and you have to pick between your underlings to tag someone to be the “responsible adult” in your absence. There are any number of ways you can go about making the selection – by seniority, but lack of seniority, by drawing lots, or even by throwing a dart at a list of names. All are sort of a pot luck approach to section that all but guarantees someone who doesn’t want to be in charge ends up, albeit temporarily, making the decisions.

If I can offer up a pro tip to those of you who ever find yourself needing to designate your own temporary replacement, the guy not to pick is the one who has been eyeball deep on a single project for the last three weeks and who has no earthly idea what anyone else is doing, what their project status is, or really anything beyond how many emails have piled into their inbox since the last time they were at their desk. When you do that, all you’re really going to accomplish is to leave everyone even more confused than when they started the day.

Sometimes the vagaries of staffing and coverage mean you can’t avoid the unprepared leading the unwilling towards the unforeseen, but it’s not going to be what you might call a best practice. If history has taught me nothing it’s that I’ll gladly make decisions regardless of how ill-informed I happen to be on the subject. As always, in the absence of clear guidance, I will create my own… and that course of action has nothing if not a truly mixed bag of results.

Adventures of a half assed event planner (Part 2 of ?)…

Fifty weeks our of the year the right high and right mighty redoubtable right noble lords of our realm don’t know I exist. I like it that way. In fact I sought out anonymity and willingly stepped away from a track likely bound for leadership. If I ever wanted that life for myself it’s a notion I lost quickly, much preferring a role as simply one of Eye-of-Sauron_612x380_0many.

Two weeks out of the year, usually sometime between October and November, those mighty lords turn their eyes upon me… and it’s a terrible thing to behold. It’s a little like having the Eye of Sauron taking a good long look at you. That eye. That unwavering, soul crushing eye turns on you. God help you then. “Leadership” and helpful “recommendations” will fall from the sky like hammer blows. You’ll get executive level “assistance” until it’s oozing our your ears.

When you’re a half assed event planner the very first thing you learn is that nothing you’re doing is important to anyone above your immediate boss until about a week before whatever it is you’re planning is supposed to happen. Guidance, intent, guests, and outcomes are all helpful things that could be given well in advance, but they won’t be. You don’t have a prayer of getting those until it’s too late to matter – so you muddle through making up your own guidance for lack of any better until someone tells you to stop.

Under the circumstances, the very best outcome you can hope for is to avoid having a heart attack, a stroke, or saying something to get yourself fired. Beyond that, your two weeks basking in the withering glare of Sauron’s unblinking eye are simply something to be endured. You can’t measure success or failure in conventional terms. Just surviving is all that matters.
